What is a break-even rate? It is the least an hour of cleaning in a customer's home can bring in and still pay every wage, yours too, plus insurance, software and the car, with nothing left over. The profit is whatever you charge above it. The true hourly rate guide walks through it.

The file comes filled in with a made-up cleaning company and its $256.55 every-2-weeks quote, so you see a finished quote before you type in your own numbers.

The example company is a working owner and one cleaner, with a break-even of $44.16 per cleaning hour. The home is about 2,000 sq ft: 3 bedrooms, an office, 2 bathrooms, kitchen, living and dining, and 2 dogs, cleaned every 2 weeks with the oven and fridge insides left out.

That is $556.71 a month, and the first visit adds a one-time charge of $241.48 for the deep clean. Why a price per square foot misses the dogs, the clutter and the drive

Callers describe a home by its square feet and bedrooms, so a lot of cleaners answer with a flat price or a few cents a foot. That number can't see two shedding dogs, an office full of paper, six months since the last clean, or a 25 minute drive across town.

Take the example home. Its 2 dogs add about 20 minutes of vacuuming to every visit. At the example's $44.16 break-even rate, that is $14.72 of paid time each visit, or about $380 over a year of cleans every 2 weeks. A per-foot price for a home with no pets gives all of that away.

The calculator prices each home from the minutes it really takes first, then shows you what that works out to per square foot. You can still quote a quick number on the phone, but the price you commit to covers this home.

Questions owners ask

Is this a house cleaning estimate template or a calculator?

Both. The Quote tab works out the price from your cleaning time, drive, supplies and overhead, and the Customer Quote tab turns it into a one-page quote you can print or save as a PDF. A blank template gives you the boxes; this one fills in the number.

Does it work in Google Sheets?

Yes. It's one file that opens in Excel and uploads to Google Sheets, with no macros, so the formulas work the same in both.

Is there a subscription?

No. You pay once, download the file and keep it. There's no app, no login and no monthly fee.

Can I price weekly, every 2 weeks and every 4 weeks at once?

Yes. You price one visit and the sheet shows per-visit and monthly prices for weekly, every 2 weeks, every 4 weeks and a one-time clean. In the example the same home is $228.52 weekly, $256.55 every 2 weeks and $279.91 every 4 weeks.

I clean alone. Is it still useful?

Yes. Enter just yourself on Shop Setup with the wage you want to earn. The sheet works out what each hour in a customer's home has to bring in to cover that wage, your car, your insurance and your software.

Will it price commercial janitorial contracts?

Not well. It's built around homes, visits and frequencies. Office contracts priced by the building and the month need a different sheet.

How long does the house cleaning calculator take to set up?

About one evening. Your insurance, software, car costs and your own wage go into Shop Setup once, and your chemicals and cloths go on the Price List. After that, a new home is the minutes per room, the drive and the checklist.

I'm not good with spreadsheets. Can I still use it?

Yes. You only type in the yellow cells, the grey cells do the math, and a red cell means something needs a look. The example cleaning company is already filled in, so you can copy how its home was priced.

Every home I clean is different. Will it still work?

Yes. Nothing in it is a fixed price per square foot. Each home gets its own minutes for the kitchen, bathrooms and bedrooms, plus pets and the drive, so a tidy condo and a big house with two dogs are each priced from the time they really take.
