Price quarterly plans, monthly service and the initial from your own costs

Your storage, insurance, truck and wages go in once. After that, every account on your route is priced from its own stop time and product, not from a number a competitor gave you on the phone.

  • Know what a tech's hour really costs Chemical storage, pesticide liability insurance, the answering service, your tech's pay and your own become one break-even rate per billable hour.
  • Price the whole stop, not just the spray The perimeter walk, the spray, the eaves, the granular band, the product and the drive each get their own line.
  • Quote per visit, per month and per year Quarterly, every two months, monthly and one-time come out side by side, with the initial priced on its own.
  • Stop giving away the minutes around the treatment Mixing at the truck, service notes, gates and dogs, and callbacks sit on a checklist that must be answered.
  • Send the customer a clear service plan One page with the plan, the monthly price and your pest control terms, ready to print or save as a PDF.
  • See which accounts pay The Job Log tracks every account quoted, won or lost, and the time each stop really takes.

How it turns stop minutes, product and the drive into a quarterly plan price

Six tabs take you from your distributor's price sheet to a signed plan, and then to a check on each account.

  1. Start HereA short guide to the fill-in order and the cell colours. Budget one evening.
  2. Shop SetupStorage, pesticide liability insurance, licences and CEUs, the answering service, your tech and you, rolled into a single break-even rate for every billable hour.
  3. Price ListConcentrates, IGR, granular, dust, gel baits, stations and glue boards at your distributor's price, each dated so old prices stand out.
  4. QuoteThe stop tasks in minutes, the drive and the checklist for one visit. It prices every frequency per visit, per month and per year, plus the one-time initial service.
  5. Customer QuoteThe plan the homeowner signs: pests covered, frequency, monthly price and terms.
  6. Job LogEvery account quoted, won or lost, and the real time each stop took.

What is a break-even rate? It is the amount every hour your tech spends on a property has to earn so that both wages, the truck, the insurance and the rest of the running costs are paid, with no profit in it yet. Whatever you charge above it is profit. The true hourly rate guide explains it step by step.

Prefilled example built-in

The file comes filled in with a made-up pest control company and its $107.68 quarterly visit quote, so you see a finished quote before you type in your own numbers.

The example company is an owner and one technician, with a break-even of $59.80 per billable hour. The account is a 2,200 sq ft single-family home on quarterly general pest: perimeter spray, eaves swept for wasps and webs, a granular band and inside spot treatment on request.

AB
1 Part of the price, per quarterly visit Amount
2 Product, stop time, sprayer wear and the drive $69.68
3 Easy-to-miss minutes (mixing, notes, gates) $14.46
4 Product markup, cushion and profit $23.54
5 Price per quarterly visit $107.68

That is $35.53 a month or $426.40 a year, plus a one-time initial of $201.10. The $23.54 a visit is kept after every wage, the owner's included, and the stop earns about $80.67 per labour hour. The full walk-through is on how much to charge for pest control.

$58

That is what the easy-to-miss lines alone added to one year of quarterly visits at this example home. Miss them once and the file has paid for itself.

Why a copied $80 quarterly price loses money

Many new pest control owners set their price by calling around or asking other owners online, and land on something like $80 a quarter. That number knows nothing about your route, your insurance, your product costs or the tech you're about to hire.

Here is the simple math. The example home costs $84.14 to service each visit once the stop, the drive, product and overhead are counted. At $80 a quarter, the company loses about $4 a visit, $16 a year on that home, before it has made a cent. Add one free callback and it's worse.

That is why the calculator starts from your own stop time and costs, then shows the per-visit and monthly price. You can still sell a simple monthly plan, but it will be one that pays for the stop.

Mixing, notes, gates and callbacks: the pest stop minutes it catches

The Quote tab won't call a price final until each of these lines has a Yes, No or N/A:

  • Mixing and loading at the truck, filling the backpack and suiting up before the first spray.
  • Service notes, reports and photos in your CRM, on every stop.
  • Gates, dogs and waiting for the customer to let you inside.
  • The home size, because a bigger home and lot take more time and more product.
  • The initial service, charged once on its own instead of hidden in the plan price.
  • Callbacks between visits. Left as No in the example on purpose, so the warning stays until you pick an allowance or limit free re-services in your terms.

Exactly what you get

One spreadsheet file, sent the moment you pay. Opens in Microsoft Excel and in Google Sheets. Nothing renews, and there's no app to install.

  • The six-tab calculator, set up for recurring pest routes.
  • A complete example pest control company, with its quarterly home priced so you can study each number.
  • Pest control terms you can edit, covering which pests are included, how re-services work and a shut gate, with extra work handled on a change order.
  • A Job Log that shows your win rate and which accounts run over on time, the habit covered in job costing.

Who it's for: owner-operators and small pest control companies

It fits owner-operators and small pest control companies, about 1 to 15 people, running residential and light commercial routes, including owners about to hire a first tech who need to know if their prices can pay one. One truck or five, small homes or big lots, the price comes from the time and product each account takes, so it works for your route as it is.

It is not for large companies already job costing inside routing software, or anyone who wants a free fill-in form. Termite work priced purely by the linear foot can be entered, but the file is built around recurring visits. To check your break-even first, use the free true hourly rate calculator.

Stop copying the $80 quarter from the company down the road. Price every plan and initial service from your own stop time, drive and costs, catch the minutes that usually get missed, and see which accounts made money.

Questions owners ask

Is there a subscription?

No. It is a one-time purchase and an instant download. Nothing renews, and there is no app or login.

Is this a pest control estimate template or a calculator?

Both. The Quote tab works out what a visit should cost the customer from your product, stop time, drive and overhead, and the Customer Quote tab prints it with the monthly price and your terms. A free template gives you the form; this gives you the number that goes on it.

Does it work in Google Sheets?

Yes. The same file opens in Microsoft Excel and in Google Sheets. It opens on a phone, but filling in Shop Setup is easier on a laptop.

Can it price quarterly, every-two-month and monthly service?

Yes. You price one stop and the sheet lays out quarterly, every two months, monthly and one-time side by side, per visit, per month and per year. The example's quarterly price is $107.68 a visit or $35.53 a month.

Does it price the initial service separately?

Yes. The inspection, the heavier first treatment and the extra knock-down product get their own one-time start-up charge, $201.10 in the example, so the recurring price never has to hide them.

Are the chemical prices in the file current for my area?

No. The example's concentrate, IGR and granular prices are placeholders. Enter your distributor's prices; each one is dated and the sheet flags old ones.

How long does the pest control template take to set up?

About one evening. Chemical storage, pesticide liability insurance, licences and CEUs, your tech and your own wage go into Shop Setup once, and your concentrates and baits go on the Price List. After that, a new account is the stop minutes, the drive and the checklist.

I'm not good with spreadsheets. Can I still use it?

Yes. Yellow cells are the only ones you type in; the grey cells calculate, and a red cell points at something to fix. The example pest company's quarterly quote is there to copy from.

Every property I treat is different. Will it still work?

Yes. There is no fixed price per home in it. Each account gets its own perimeter, eaves and inside minutes, product and drive, so a small ranch house and a big home on an acre come out at the prices their time and product call for.
