How it turns fittings, fixtures and labour hours into a plumbing quote

Six tabs do the work. You set up the shop once, update parts when your supplier changes prices, and build one quote per job.

  1. Start HereWhich plumbing numbers to gather and the order to enter them, about one evening.
  2. Shop SetupYour yearly costs, van, drain camera, jetter and crew, turned into one break-even rate per billable hour.
  3. Price ListWhat you pay for pipe, fittings, valves and fixtures, each with the date you last checked it, so an old price gets flagged before you quote.
  4. QuotePick the parts, put hours on each stage (rough-in, inspection, finish), add the permit, answer the checklist, and it gives the price and the price per fixture.
  5. Customer QuoteThe page the homeowner sees: scope, what is not included, price, deposit and terms.
  6. Job LogAfter the job, the real hours go in, so you know if it paid.

What is a break-even shop rate? It is what one billable hour has to bring in to pay every wage and every shop cost before any profit. Hours spent quoting, ordering and at the parts counter are not billed, so the hours you do bill carry them. The plumber hourly rate page works it through for a plumbing shop.

Prefilled example built-in

The file comes filled in with a made-up plumbing company and its $5,094 bathroom quote, so you see a finished quote before you type in your own numbers.

The example shop is an owner who is also the master plumber, a journeyman and an apprentice, with a break-even of $69.95 per billable hour. The job moves a toilet 2 ft, puts in a new tub and shower valve and drain, and runs new water and drain lines to the vanity.

AB
1 Part of the price Amount
2 Materials and permit $702.23
3 Labour and van $2,288.28
4 Easy-to-miss costs $887.01
5 Markup, cushion and profit $1,216.93
6 Price before tax $5,094.45

The hours around the pipe cost more than the materials and permit together. The $1,216.93 is what is left once the master plumber, journeyman and apprentice are paid, and the job earns $99.46 per labour hour, about $1,698 per fixture. The stage-by-stage walk-through is on how much to charge for plumbing jobs.

$887

That is what the easy-to-miss lines alone added to this one example quote. It is about 17 times what the calculator costs. Miss them once and the file has paid for itself.

Why pricing from wrench time loses money on plumbing jobs

Most plumbers price by picturing the work: an hour to set the toilet, half a day for the rough-in. That picture leaves out the drive, the parts counter, the permit paperwork, testing the lines and going back for the final. None of it shows on the invoice, and all of it is paid time.

The sample Job Log shows what that costs. One $2,150 job was quoted at 14 hours and took 24. At the example's $69.95 break-even, those 10 extra hours cost $699.50, and the job lost $218.91 instead of making the $380 it was priced to make.

The calculator fixes this two ways. Every quote runs through the same checklist, so the hours around the work get priced every time. And the Job Log keeps the real hours, so the next quote for that kind of job starts from what it really took.

Supply house runs, seized valves and the other plumbing hours it catches

The Quote tab won't call a quote ready until every line has a Yes, No or N/A:

  • The site visit to look before quoting, because a free estimate is still an hour somebody pays for.
  • Supply house runs and drive time, real hours that never make it onto an invoice unless you put them there.
  • The seized or corroded valve at the tie-in, the classic way a flat-priced faucet job eats an afternoon.
  • Fittings the takeoff missed: the 90s, couplings and adapters a quick count loses.
  • The pressure test and the second inspection trip. Rough-in and final are two visits, not one.
  • Setup, floor protection and cleanup each day, plus the glue, primer, tape and solder nobody lists.
  • A callback and warranty reserve. Left as No in the example on purpose, so the warning stays until you set your own number.

Exactly what you get

A single spreadsheet, downloaded the moment you pay. It works in Microsoft Excel and Google Sheets, with no macros, no subscription and no login.

  • The six-tab calculator, ready for your own shop numbers.
  • A complete example plumbing company, with a finished bathroom quote you can check line by line.
  • Plumbing customer terms you can edit, covering hidden damage once walls are open, fixtures added mid-job, customer-bought fixtures and what the price leaves out, with surprises handled as a change order.
  • A Job Log that tracks your win rate and which jobs ran over their hours, the habit explained in job costing.

Who it's for: plumbing shops of 1 to 15 people

It fits owner-operators and plumbing shops of about 1 to 15 people doing service calls, repairs, remodels and small new builds, who want every plumber in the shop to quote the same way. A one-van owner doing drain calls or a crew roughing in whole houses, it works the same, because every rate and price in it comes from your own shop.

It is not for large shops already running field service software with a maintained flat rate book, or commercial estimators doing takeoffs from drawings. To check your rate before buying, try the free true hourly rate calculator.

Stop quoting plumbing jobs from wrench time and memory. Price every service call and remodel from your own costs, catch the hours that usually get missed, and see which jobs made money.

Questions owners ask

Is there a subscription?

No. It's a one-time purchase of one spreadsheet file. No login, no monthly fee, nothing renews.

Does it work in Google Sheets?

Yes. The same .xlsx file opens in Excel and Google Sheets, with no macros or add-ons to install.

Is this a plumbing estimate template or a calculator?

Both. The Customer Quote tab prints a clean estimate like a template, and the Quote tab works out the price behind it from your parts, labour at your shop rate, the permit and the hours around the job.

Does it come with a flat rate book?

No. It builds flat prices from your own hours and parts on the Quote tab, and you save them as your own price book. There's no national flat rate book inside.

Can I use my own supply house prices?

Yes. The Price List tab holds what you actually pay, and flags any price that's getting old so you recheck it before quoting.

How do I get it?

Instant download after checkout. The file opens with the bathroom sample filled in, so you can see every number work before you type in your own.

How long does the plumbing calculator take to set up?

About one evening. You enter your shop costs, van, wages and supply house prices once. After that, a new plumbing quote is the parts, the hours for each stage and a pass through the checklist.

I'm not good with spreadsheets. Can I still use it?

Yes. You type only in the yellow cells, and the grey cells do the math. A red flag tells you when a supply price is old or a checklist line is unanswered, and the sample bathroom job shows what done looks like.

Every plumbing job I do is different. Will it still work?

Yes. There is no national flat rate book inside it. A drain line, a water heater swap and a full rough-in each get their own parts and stage hours, so every job is priced from what it really takes.
