How it turns crew hours and gallons into a repaint quote

There are six tabs. The company setup is done once, paint prices get updated when your store changes them, and each job gets its own quote.

What is a break-even rate? It is the amount one billable hour of painting has to bring in to pay every wage, yours included, plus burden and overhead, before any profit. In the sample shop it is $49.25, and anything the job earns above that per hour is profit. Why a flat price per floor square foot loses money on repaints

Plenty of painters quote a house at a flat rate per floor square foot. The trouble is that you don't paint floors. Two houses with the same floor area can have very different wall height, trim, window count and number of colors, and the floor number sees none of it.

Take the sample house. At a flat $3.00 per floor foot, 2,300 sq ft is $6,900. Priced from its own hours and gallons, the same repaint comes to $8,663. The flat price is $1,763 short, which is more than half the job's profit gone before the first coat is dry.

The calculator builds the price from the stages, the hours and the gallons first. The per-foot number still shows at the end, as a check you can compare with your old habit, not as the thing that sets the price.

Who it's for: repaint contractors and small painting crews

Questions owners ask

Is this a painting estimate template or a calculator?

Both. The Customer Quote tab is the estimate your customer signs, with colors, coats, price and deposit. The other tabs work out that price from your crew's hours, your gallons and your overhead.

Is there a subscription?

No. You pay once and download one .xlsx file. No app, no login, no monthly fee.

Does it price painting by the square foot?

No, it prices by crew hours and gallons, then shows the price per floor square foot as a check. The sample repaint comes to about $3.77 per floor square foot.

Can I use it for exterior painting?

Yes. The stages and Price List are yours to edit, so exterior paint, masonry primer, soffit plywood, scaffold and dump fees go in the same way as interior work.

Does it work on a phone?

Yes, through the Excel or Google Sheets app, which is fine for checking a quote in the driveway. Shop Setup is easier on a laptop.

Will it tell me what painters charge in my area?

No. It tells you the lowest price that covers your wages, overhead and profit. What your market pays above that is your call.

How long does the painting calculator take to set up?

About one evening. You enter your overhead, your painters and your van once, then your paint and sundry prices from your contractor account. After that, a new repaint is the stages, the hours, the gallons and the checklist.

I'm not good with spreadsheets. Can I still use it?

Yes. You only type in the yellow cells, the grey cells work out the price, and a red cell flags something to look at. The sample 2,300 sq ft repaint is filled in, so you can copy its layout for your own job.

Every house I paint is different. Will it still work?

Yes. There is no set price per room or per floor foot inside it. A one-room accent wall and a full exterior with rot each get their own stages, hours, gallons and extras.
